You’re Doing Great Work.
So Why Aren’t More Clients Sticking Around?
Retention isn’t just about being a great clinician.
It’s about building relationships, strengthening counseling skills, and creating systems that make it easy for clients to stay engaged and see their own progress.
And that’s exactly what this toolkit helps you do.
Your clinical skills got them in the door. This keeps them coming back.
Introducing the Client Retention Toolkit
Over my 11+ years in private practice, I’ve worked with hundreds of clients and trained dietitians to build sustainable, relationship-centered practices.
This toolkit brings together the systems I’ve seen make the biggest difference in whether clients come back after session one and stay long enough to experience real change.
The Toolkit Includes:
- My exact templates, scripts, and planning tools that you can use to build trust, reduce no-shows, and keep more clients engaged for longer.
- Everything you need to put that knowledge into practice — from the very first discovery call all the way through long-term retention.
- Each template, framework, and worksheet is built around the same values you bring to your clinical work: trauma-informed, inclusive, collaborative, and client-centered.
In the workshop, you learn why clients leave and what it takes to keep them engaged.
But knowing the strategy and having the tools to execute it are two very different things.
What’s Inside the Toolkit
These aren’t generic templates. They’re grounded in my decade of real-world practice and designed to help you create a client experience that feels clear, supportive, and sustainable for both you and your clients.
1. Discovery Call Framework and Scripts
Refined across hundreds of discovery calls over more than a decade of practice, this framework walks you through why each moment either builds or breaks client retention.
You'll get word-for-word example scripts for every stage of the call, plus clinician notes explaining the relational reasoning behind each question and transition.
2. Client Onboarding Workflows, Checklists, and Automations
You'll get ready-to-use checklists and a framework for building automations in whatever platform you use, so your onboarding process is consistent, warm, and running in the background without you having to think about it.
This will ensure that your new clients feel supported even before their first session.
3. Engagement-Boosting Intake Form
A ready-to-use intake form to build trust and get clarity, without overwhelming your client. Built around trauma-informed principles that cover how to phrase questions safely, what to leave off entirely, and how to use the form itself to create psychological safety.
Because how you gather information matters just as much as what you gather.
4. Session Planning Templates
What you do in the first 10 minutes of a client's initial session has more impact on long-term retention than almost anything else.
You'll get structured templates for both initial and follow-up sessions, plus a step-by-step guide to opening the first session in a way that builds trust, sets realistic expectations, and establishes a collaborative relationship from the start.
5. Retention-Focused Roadmap
This roadmap was built from my years of observing exactly where and why clients disengage, and what keeps them coming back. It takes the guesswork out of session sequencing, with retention tips and key actions at every stage.
It's not a rigid protocol; it's a flexible clinical guide that works across practice styles, helping you keep clients engaged throughout the process.
6. Retention Milestones Worksheet
A session-by-session tool for tracking the invisible work that actually drives retention: mindset shifts, behavioral experiments, engagement signals, and wins big and small.
Includes sections for proactive check-in planning and clinician self-reflection, so the tool works for your clients and for you.
7. Re-engagement Scripts and Templates
For every client who went quiet and left you wondering what to say (yes, I’ve been there!), these templates are drawn from real outreach that brought real clients back.
You'll get ready-to-send scripts with options for a softer check-in and a more direct invitation back. Written with the same no-shame, no-pressure tone you bring to your clinical work, so outreach feels like care rather than sales.
8. Behind the Practice: My Clinician Best Practices
The best thing about learning from someone else's experience is skipping the part where you figure it out the hard way.
A behind-the-scenes look at the systems, counseling approaches, and scheduling practices that helped me maintain a full client schedule year over year — woven throughout the toolkit and collected in a dedicated guide. The lessons from 11+ years in private practice, so you can skip straight to what works.

If you’re a dietitian in private practice,
you’ve probably had this experience:
A new client seems excited on the discovery call...but never books.
Someone completes the intake form, comes once, then disappears.
Clients drop off after 1–2 sessions, even when you know you can help.
You spend so much time prepping for each client, and yet the session structure still feels “off”.
And somewhere in the back of your mind, you start to wonder...is it me?
Why I Built The Client Retention Toolkit
Hi! I'm Alissa Rumsey (she/her), a registered dietitian, certified intuitive eating counselor, author, business coach, and the founder of The Liberated Clinician.
When I started my private practice, I noticed a trend:
Most of my clients would show up for one or two sessions, and then I wouldn't see them again.
I had the nutrition clinical skills and education, but was never taught the business systems and deeper relational counseling tools that enable clients to keep showing up in service of long-term, sustainable behavior change.
I've spent over a decade figuring out what actually works — what to say on a discovery call, how to structure the first session, how to reach back out without it feeling weird.
This toolkit is everything I wish I'd had when I was building my practice.
I created this toolkit because in my work with other dietitians, I've seen so many talented clinicians lose clients they absolutely could have helped — not because of any issue with their clinical skills, but because they didn't have the systems to support long-term engagement.
That gap broke my heart. Because I knew what was possible if those clients had stayed. And I knew that building those systems from scratch, alone, while also running a practice, is genuinely hard.
So I took everything I've developed and refined across 11+ years in private practice and turned it into this toolkit — so you don't have to figure it out the hard way.
